What Is Reply Detection in Email Automation?

Reply detection stops a follow-up sequence the moment a contact writes back, so you never send "just checking in!" to someone who answered yesterday. In Keystone, a reply pauses that person's sequence and moves their message to the top of your list.

Reply detection is the part of follow-up automation that stops a sequence when a contact writes back. It prevents the worst thing automation can do: send "Are you still interested?" to someone who replied "Yes, can we see it Saturday?" the day before.

Why It Matters

Basic automation tools run on a calendar. Message three goes out on day five whether or not the person has been talking to you since day two. A buyer who has just engaged gets a form message, and it looks like nobody is reading their reply. That damages trust faster than not following up at all.

Reply detection fixes this by treating a reply as the signal that the conversation is now human. The automation steps aside and you take over.

How It Works in Keystone

When someone replies, three things happen:

  1. Their sequence stops. Nothing further is queued for that person.
  2. Their reply moves to the top of your list. It sits above routine follow-ups so you see it first.
  3. You respond yourself. From there it's a normal conversation.

Email

Connect Gmail or Outlook and Keystone sends as you, with replies syncing back both ways. Because the replies land in your own inbox thread and in Keystone, you can answer from whichever you prefer. If you'd rather start without connecting anything, you can begin on a Keystone sending address on day one.

Text

Where texts are involved, how replies are seen depends on how you text:

  • Your own cell: you text from your phone, and Keystone can't see the replies.
  • A Keystone Number: Keystone logs both sides of every conversation, so replies come back into the app.

If it matters to you that text replies are tracked in Keystone, use a Keystone Number.

Two Examples

The quick responder

  • Day 0: a new buyer gets property details.
  • Day 1: they write back asking about Saturday.
  • Their sequence pauses, and the reply is at the top of your list.
  • You reply with showing times. The day-3 "Are you interested?" never goes out.

The referral

  • Several weeks after closing, a past client writes back to an anniversary note: "My coworker needs an agent."
  • The sequence pauses.
  • You send a real thank-you and ask for an introduction, instead of a generic market update going out the next morning.

What to Look for in Any Tool

If you're comparing options, ask these questions:

  • Does a reply stop the sequence automatically, or do I have to do it by hand?
  • Does it work across the channels I use, or just email?
  • Where does the reply show up, and will I see it quickly?
  • Can I see the full conversation history for a contact?

Reply handling is one of the main differences between a follow-up tool built for agents and a general email marketing tool. For a broader look at the options, see the comparison pages.
